Error When Importing Data - Duplicate Records

Q: I am trying to import training and employee records but I am getting an error regarding duplicates. I have a lot of data so its hard to spot a duplicate.

A: All employee ID numbers and training numbers need to be unique. If you do not have numbers, you may leave these blank and TRAIN TRACK® will assign them for you. If you import a new record with the same ID number as an existing record, the existing record will be updated with the new information. However, if you have duplicate numbers for different records in your import sheet, TRAIN TRACK® does not know which one to use. Please also make sure that you do not have any duplicate email addresses listed on your templates and that there isn't already anyone on your user list with the same email address.

To find duplicate records in your import template, please follow these steps:

  1. Open the Excel file and click on the letter of the column header for the column you wish to check for duplicates (to highlight/select the whole column).
  2. Click on “Conditional Formatting” from the ribbon at the top.
  3. Select “Highlight Cell Rules”.
  4. Select “Duplicate Values”.
  5. Click “OK” in the popup window.
  6. Scroll through your data to find any values that are highlighted in red--those records have duplicates.
