How do I set up a Training Series or Refresher?

If you have a training that should only be required after another training has been completed, you may use the series feature. This feature allows you to select the next training to be required, and to indicate how many days after the first completion you want the second training to show as required. You may use this feature to require any number of training in a series (after the first is completed, the second is required; after the second is completed, the third is required and so forth).

Example Uses:

For example, if you wanted Basic Safety Full Course to be completed at initial hire, then Basic Safety Refresher to be completed every year after that, you could go to Basic Safety Full Course and then select Basic Safety Refresher as the series training, and indicate that it is required after 365 days.

Optional: Let's say you need to make sure the second training is completed within one year, and you don't want this training to ever be expired for any employee. In this case, you could indicate that the second one is required after 335 days instead of 365, and then assign a 30-day grace period to the second training. Doing this, the second training would show up on the list as required after only 11 months, and the employee would have 30 days to complete it (the "Due By" date would be one year after the completion of the first training).

To set up a series, you will need to set the first training as required. You will NOT set the second training as required; instead, you will list it as a series for the first training, and the requirement will only become activated based on completion of the first training.

To set up series training, follow these steps:

  1. Open the Training Detail screen to the training record for the initial training.
  2. Leave the "Expires in ___ months" field blank (you don't want the employee to have to repeat this training, you want them to complete a different training).
  3. Set this training as required by job title, department, or individual.
  4. In the middle of the screen, select to show "Requirements > Groups > Series".
  5. Under Series, select the second training.
  6. Enter the number of days after the first training is completed that you want the second to become required.
  7. If you want the second training repeated (for example, annually), then open the record for the second training and set the number of months to expire.

Set the first training as a required training, and the second will automatically be required the specified number of days after the first is completed. If you want the second training repeated (for example, every year), set the months to expire for the second training only.

The following example shows an initial training, with a second training required annually:

To set up a third training to be required after the second is completed, add it as a series under the second training. You may add as many to the series as you like.

 


Multiple Topics in a Series

You may designate multiple training titles to be required after the first training is completed, and set them to be required different numbers of days after the first training. It is also possible to set one series training after another series training.

In the example below, you would only need to assign Training A as required, and then Training B would be required 30 days later, and Training C would be required 30 days after that:
