How do I View Audit Trail Records?

TRAIN TRACK® allows Administrator-level users to view the audit trail of record changes and user logins. Administrator-level users may also export the records to Excel®.


View Database Changes

When you View Database Changes, you may select from a variety of criteria to filter the data. You may select to:

You may also filter for a date range within any of the above selections. You may select to either view the results, or export them to Excel®.

To view database changes, follow these steps:

  1. From the Ribbon, "Database Administration" tab, click on View Database Changes.


  2. A dialog box will open.




  3. Select the filter type by clicking one of the radio buttons.
  4. Select the specific item under the type you have chosen. For example, if you selected "Filter by Record Type", then you would select the type of record (employee, training, required, completed, or user.) If you select employee, training, or user, then you may also select an individual record. For example, you may want to see all changes concerning the "Workplace Safety" training, or all changes for one employee.




  5. Enter the Date Range. Keep in mind that it is a date and time stamp, so to see all records for a specific date, you need to set the range for the following date.
  6. Click View Records or Export.
  7. Click Close to close the pop-up box. Your records will be desplyed.

 


What Data is Displayed for Database Changes?

The audit trail for database changes displays the following fields:

Field Description
Date Changed Date and time stamp
Changed By The login name of the user making the change
Change Type Type of change (add, edit or delete)
Record Type Type of record that was changed (training, employee, completed, required or user)
Old Value The value of the record before the change
New Value The value of the record after the change
Training ID If a training record was involved, the database record ID of the training
Employee ID If an employee record was involved, the database record ID of the employee
Training If a training record was involved, the title of the training
Number If a training record was involved, the number of the training
Last If an employee record was involved, the last name
First If an employee record was involved, the first name
Emp Number If an employee record was involved, the employee number

 


View Logins

When you View Logins, you may view each login event:

To view logins, follow these steps:

  1. From the Ribbon, "Database Administration" tab, click on View Logins.


  2. A dialog box will open.




  3. Set the date range, and click View Records or Export.


What Data is Displayed for Logins?

The audit trail for logins displays the following fields:

Field Description
User The login name of the user
Login Event The login event (login or logout)
Employee The employee name associated with the user
Login Date The date and time of the login event
Machine Name The name of the computer used for the login event. If the login was from the web interface, the web application login will appear here instead
